Sales Team Administrator
Grade 12 or Matric with a Secretarial Diploma would be preferred.
Not less than 3 years experience in assisting a sales team in a technical environment.
Must have good product knowledge of the Oil & Gas and Power sectors.
Secretarial skills essential as there would also be minute taking from Sales Meetings.
Order processing of sales orders that reach the company by telephone, letter, e-mail or website.
Process orders generated by sales representatives or telesales staff.
Check the order to ensure that customers have entered correct details, such as prices, discounts or product numbers.
Contact customers to resolve any queries or obtain any addditional information.
Enter details of the order on a computer system and forward the order to the production or dispatch department, asking for confirmation of stock availability or delivery dates.
To check that delivery and contact details are correct and update customer records with any changes.
To check the customer's payment or credit status or obtain authorization from the sales manager.
When orders are complete, to advise the finance department to prepare invoices.
To maintain customer sales records.
To create records for new customers, including contact details and the name of the representative managing the account.
Update the records with details of orders and invoices.
Provide support for sales representatives when they are away from the office.
Take calls or e-mails from customers and alert representatives to any urgent issues.
To deal with routine requests from customers, such as requests for price quotes or delivery dates.
To pass any technical queries from sales representatives or customers to the appropriate departments.
To update representatives on orders or deliveries.
To assist the sales team work more productively and focus on dealing with customers.
