South African Oil and Gas Alliance (SAOGA) is based in Cape Town. Its purpose is to promote and develop the oil and gas services sector. SAOGA is managing an innovative skills development programme. The services of an Administrator to manage all administration of the learners is required for a fixed term contract period.
This position requires a dynamic team player, a person who prides themselves in being detail orientated and who has extensive administrative experience as well as bookkeeping / accounting experience. The person must also be able to function with minimal supervision.
The Key Performance Areas are:
The scope of work in the contract will be varied and will include the following:
Administer Purchasing and procurement
- Obtaining quotations for purchases and/or training
- Preparing and processing Purchase Order Requests (POR)
- Tracking and following up POR's
- Process Purchase Orders
Accounting duties
- Skills Development Department Financial Management
- Controlling of Skills Development Department Budgets
- Monitoring tranches from funders and acknowledging receipt thereof
- Reconciliation of expenditure vs budget of different skills funding
Analyse data from Excel
- Analysing and interpreting data
- Converting data into graphical format
- Managing Skills Database
Reporting
- Preparing of monthly reports in consultation with Project Co-ordinator/s and Skills Development Manager
- Preparing and populating quarterly reports in consultation with Project Co-ordinator/s and Skills Development Manager
- Preparing annual close out reports
Accountable for Stipend Administration
- Administering, maintaining and updating Pastel Payroll system, including payments
- Administration related to learner administration and maintaining database
- Monitoring intern attendance registers
- Preparing and processing stipends
General Administration
- Conducting general administrative duties
- Maintaining filing systems for all records
- Liaising with Training Providers and Trade Testing centres for scheduling of training interventions
- Monitoring web site generated enquiries
- Providing website administrative support
- Tracking of projects and personal information of trainees
- Assisting as needed across SAOGA
Any other administrative duties as required from time to time
The key competencies required:
- Exceptional Administrative skills
- Accurate bookkeeping and accounting skills with experience in Pastel and Cash Focus
- High level of computer literacy - MS Office skills
- Excellent report-writing skills (inclusive of English writing communication skills)
- Time management skills – ability to prioritise and adhere to deadlines
- Attention to detail – meticulous and accurate
- Strong organisational skills (able to manage various tasks and projects simultaneously)
